To ensure accurate and timely shipping, please follow the guidelines below exactly when preparing your drop ship list for UPS. Incomplete or incorrectly formatted files may result in shipping errors, correction fees, or delays.

Formatting & Field Requirements:

  1. Do Not Modify the Template:

    • Do not change, reorder, or rename any of the fields in the provided template.

    • Submit your list using the exact format we’ve provided.

  2. Correct Data Types:

    • All number fields (e.g., ZIP codes, quantities, phone numbers) must be formatted as numbers, not text.

    • Ensure ZIP codes retain leading zeros where applicable (e.g., 02134).

  3. Address Fields:

    • Be sure to enter Address Line 2 (e.g., Apt #, Suite #, Floor) in the correct separate column.

    • If this information is entered in the wrong field or combined with Address Line 1, it may be omitted from the UPS label, resulting in address correction fees.

  4. Character Limits:

    • Each UPS label field has a character limit. Please verify that your entries do not exceed these limits to avoid truncation or label rejection.

  5. Avoid Special Formatting:

    • Do not use colors, bold text, formulas, merged cells, hidden columns, or filters.

    • Submit a clean .xlsx or .csv file with plain text and standard formatting.

Third-Party Shipping (If Applicable):

  • If you are using a third-party UPS account for billing, you must provide the full BILLING address associated with that account.

  • Missing or incorrect billing info may lead to re-bill charges, UPS penalties, or shipment delays.

Important Notes:

  • Our shipping department may process your list on the same day as shipment.

  • It is your responsibility to review and verify the accuracy of your submitted list.

  • Any errors on your drop ship list will result in fees or delivery issues at your expense.

If you have questions before submitting, please reach out to our shipping team for clarification. Thank you for helping us ensure smooth and accurate fulfillment.

UPS Character Limits:

When preparing UPS shipping labels, it's crucial to adhere to specific character limits for each field to ensure accurate delivery and avoid errors or additional fees. Exceeding these limits can result in truncated information or address correction charges. Below is a reference guide for the maximum character counts per field for UPS labels:

Field Maximum Characters
Recipient Name 35
Company Name 35
Address Line 1 35
Address Line 2 35
City 30
State/Province 5
ZIP/Postal Code 10
Country 50
Phone Number 15
Email Address 50
Reference ID 35

Important Notes:

  • Address Line 2: Ensure that apartment, suite, or unit numbers are placed in Address Line 2. Incorrect placement may lead to omitted information on the shipping label and potential address correction fees.

  • Formatting: Avoid using special characters or formatting (e.g., bold, italics, merged cells) in your submission. All data should be in plain text to ensure compatibility with UPS systems.

  • Third-Party Billing: If using a third-party UPS account for billing, provide the full billing address associated with that account. Failure to do so may result in re-bill charges or shipment delays.

  • Responsibility: You are responsible for verifying the accuracy and formatting of your drop ship list. Errors can lead to shipping issues and additional fees.

Sorting by Quantity for Efficient Processing:

  • If you are shipping multiple quantities to different addresses, please sort your list from smallest to largest quantity.

  • Example: If you have 10 shipments of 50 cookies, 12 shipments of 75 cookies, and 15 shipments of 100 cookies, sorting in ascending order allows our team to group and pack more efficiently, reducing the risk of error and streamlining fulfillment.
